Google Vault Incorporated with New Features of Google Drive Trash and Hangouts Meet File Retention

Google has recently introduced some beneficial new features for its app Google Vault. From now onwards, it will allow a more granular retention and enhanced search experience for G Suite users. These features can help greatly in proper data retention and thus reduce risk liabilities and improve eDiscovery processes with better search and export capabilities. These upgradations will surely make the lives of admins and users more hassle-free and less time-consuming.

Setting Retention Policies for Files in Google Drive Trash

G Suite admins can now set custom retention rules that are specifically made for Google Drive files that are moved to a G Suite users trash. This option provides more ease for business organizations who wish to monitor and analyze the lifecycle of deleted files from active files in the user’s My Drive and Team Drives.

Setting Retention Policies for Hangouts Meet Recordings

Before this launch, Hangouts Meet recordings were subjected to applicable Drive retention rules. But now G Suite users can set default and custom retention rules for G Suite Enterprise version video chatting tool only. This will enable users to set shorter retention periods for Hangouts Meetings as well that will optimize space storage utilization for the users in a significant way.

Search Improvements

This feature enables the process of searching an entire domain page or even big Organizational Units (OUs), more transparent and simple. One can select the “All Accounts” option to search for an entire domain, provided the data type supports a domain-wide search. The options of canceling a search or running another on a new tab can also be achieved.

When Google Vault processes an user’s large search request, an activity indicator, as well as the amount of time elapsed, will also be visible.

Easy Exporting for Hangouts Chat

Export of large amounts of Hangouts Chat data has also been made possible, for business organizations. From now onwards, the data of the G Suite chatting tool will be condensed into a small set of files. This will be hugely beneficial for users in terms of data retention as well as space saving.

Also, each conversation will continue to be associated with a metadata and this time with two new fields which are -

1. Conversation Ownership

2. Conversation Type

Availability and Feature Visibility Details

It will be available in G Suite Business, G Suite Enterprise and G Suite for Education versions only. Also, it will be accessible for G Suite users with Vault add-on option.  Gradual Rollout may take upto 15 days for feature visibility and the impact or usefulness will be implied on G Suite admins.
