How to Create Canned Responses in Gmail
Canned responses in Gmail is a feature which helps in composing templates and send them in case we need to send a generic email to numerous people.You can compose, save it and apply filters and send that response as per your needs.
Canned responses is an excellent Gmail feature which allows users to create and save multiple email templates in their inbox. You must enable the “Canned Responses” option in Gmail Settings, and create templates, or "canned responses" before using this feature.
You can avert the hassle of repeatedly copying and pasting the same email response with the help of canned response. Canned response works wonders as a rescue measure in those cases where you need to send generic emails to multiple recipients e.g. acknowledge mail to job applicants.
Enabling Canned Response in Gmail-
In Gmail, click Settings.
At the top, select the Advanced tab.
In the Canned Responses (templates) section, select Enable.
At the bottom, click Save Changes.
Canned response can be created in two ways-
Using a button in compose toolbar.
Automatically using filters.
Using a button in compose toolbar :
Start a new email by hitting "Compose."
In the Compose TAB type the email you want to save as a template.
Click the down arrow at the bottom of the compose window, go to "Canned responses” > “Save draft as template” > “Save as new template”.
Name your canned response.
Now you can send a canned response by selecting the Template you have created-
2) Automatically using filters-
In Gmail, click Settings.
In Filters and blocked addresses, click “create a new filter”.
You can apply whichever filter you wish to, such as a particular email ID or containing any particular word like “Job”.
Then go to “Create Filter”
After this step, Choose the option “send Canned response” > Canned response Template as below-
Now any email which contains the word “job”, either in the mail body or subject line, will be auto-replied with the canned response.
You can apply as many filters as per your requirements and apply the canned responses for the same.
Canned responses are small steps, but these incremental performance improvements add up over time and set you apart, enhance the overall productivity as well.
