How to Implement Rules in Outlook Online of Microsoft Office 365

In Microsoft Office 365 Outlook, you can create rules that instruct Outlook how to handle incoming messages. You choose both the conditions that trigger a rule and the actions the rule will take.

Rules let you handle email messages based on a variety of different criteria you select from the options available. For example, you can move all messages from a particular person into a folder, or immediately delete all messages from a pesky online shopping site, the control is in the user’s hand.

You can find the settings Rules in All Outlook Settings at the bottom left corner of Online Outlook.


To create a completely new rule, at the top of the page of outlook, select Settings > View all Outlook settings> Mail > Rules.



You can add a new rule by selecting the option + Add a new rule as shown in the above Image



Every rule needs at least three things: A name, a condition, and an action. Rules can also contain exceptions to conditions. You can add multiple conditions, actions, and exceptions at each step by choosing Add a condition, Add an action, and Add an exception.


You can name a Rule and after that add conditions with options available such as, My name is, Subject, Keywords, Marked with, Message Includes, Message Size, Received, All messages -



After adding a condition you can select action from the available actions of Organize, Mark message, Route, please refer the below image -


If you tick the checkbox Stop processing more rules, only that particular rule will be applicable on the mails adhering to the conditions and actions set by the user, for example sometimes, you might set up several rules that could apply to a single message altogether. If you created a rule to move all messages with a particular subject line of "Financial Report" to a folder, for example, and then created a second rule to delete all messages having attachments, you probably wouldn't want a Financial Report email with an attachment to be deleted. If not, you need to use the option stop processing more rules on the first rule as shown in the below image.

Subsequent rules created will be ignored, even if they apply to that particular message. Without this setting, every rule created that applies to the message will run.

With Microsoft Office 365 you can control the way incoming mails are received having a Total control over the way your Inbox is Organized.
