While using G Suite for your Email Solutions, you may have noticed that whenever you mention the initial alphabets of the recipient, suggestions are shown up with similar matches. Like while composing mail, when you put up the initials, the mail ids of others are shown as a suggestion. Have you ever wondered that how Google is doing so, or like where is it coming from.

Well, it is possible via Google Directories.

 

WHAT IS GOOGLE DIRECTORY?

 

With G Suite Directory users of an organization can share their contact information with each other in the Global Directory or Custom Directory. It is a list containing the details along with the Names, Email Ids, Phone numbers, physical addresses etc.

 

AMENITIES OF GOOGLE DIRECTORY:

 

1. Management on administrator level - Whenever a new user is added by the admin, the details of the user by default appears in the global directory and its information can be accessed by the other users(In case the global directory is ON). Admin can also add external contact and calendar resource details in the global directory as per their requirements.

 

2. Accessibility via Contact Manager - The contacts available in the Google directory are accessible to the users via their contact manager.

Gmail - > on the left top corner click on drop down of Mail -> select Contacts.

 

 

From here you can browse through the Global directory as well as your personal contacts. You can also add a contact from the global directory to your personal contacts. Even a user can also create his personal groups with the specific users and the members of that group can only have access to the group information.

 

3. Management on User level - Apart from the contacts available in the Global directory, one user can also add his personal contacts to his contact list who are only available in his personal list and not in the Global Directory.

 

4. Auto completion of Addresses - While typing addresses in Gmail, sending invitations via Calendar & Sharing Docs matching names appear from the Global or personal list of the user, in order to save time to look contacts separately.

 

Apart from the Google Global Directory which was earlier by default available with every G Suite Account, Google has introduced the provision of creating Custom Directories as well.

 

The main motto behind it is that when an admin doesn't want a group of users to have access over the global directory, and they are supposed to access only a part of it. By creating Custom Directories one can segregate the contacts available to the different group of users.

 

For Example- The segregation can be done on the basis of their employeeship (Permanent or Temporary). The Global Directory will be accessible to the permanent ones and one separate custom directory will be there for the temporary ones.
