The First Five Steps New G Suite Administrators Should Take

These tips like training users, training yourself, becoming familiar with support procedures, working with activity reports, and keeping up to date on changes can be applied to any new environment, not just Google Apps.

The First Five Steps New G Suite Administrators Should Take

1. Make users understand how to use G Suite --

The Super Admin will be the first person to understand the working and functionality of G-Suite Admin Console. Apart from that when it comes to the non-admin users, it is very much important to make them learn and understand the Gmail interface. It should always be seen that the users are grabbing most of it. The admin must ensure that the users are able to use features like labels, filters, segregating inbox etc. They should also know the use of Google Sheets, Doc, Calendar at least in their work field.

2. Understand how to administer G Suite --

Being a G-Suite admin is not enough to serve the actual role of an administrator. Admin(s)  of a domain must take the initiative to learn the usage of the console. G-Suite facilitates with basic and advanced features, of which the admins must understand the controls like Users, Groups, Reports, Admin Roles etc.

To achieve true superadmin status, one may create some documents for common tasks (e.g. creating new users) so that if they forget the details it will be easy to retrace the steps involved. Like all documentation, this should be reviewed for accuracy as changes may render the procedures obsolete.

3. Know your mailbox size and mostly used URLs --

Every Admin and non-admin users must be aware of the mailbox size which they have been provided. Google has a feature that once the mailbox gets filled, the sending operation stops first and receiving operation keeps on working. This is just to bring under the notice that the service will be stopped shortly. At this point, the user must purchase additional storage instead of thinking it to be an issue.

4. Monitor your G Suite services via reports --

The user activities are well managed and observed. Using these advanced features and restricting them is also a great role an Admin may adopt. An Admin can keep an eye on email, calendar, docs, mobile devices, and other statistics. Some of those advanced features are found in admin audit reports as well.

5. Make sure to be up to date on G Suite newsletters --

G Suite isn't a static or permanent environment like Microsoft Exchange 2010, so it's crucial to keep up to date on all Google changes. The administrator must bookmark and keep an eye on the G Suite Basic page which provides links to Webinars, Events and their Updates Blog. If any changes come on the user interface must be passed on to the users to keep them up to date.
