The New Data Migration Service in GWS
Google data migration service is the flagship migration tool from Google for transferring Google Workspace data directly from the admin console. All migrated data is copied, not moved or deleted, so you can still access the data in your source account after a migration.

The new data migration service is now in public beta.
Supported plans are for this feature: Business Starter, Business Standard, and Business Plus, Enterprise Standard and Enterprise Plus, Education Fundamentals, Education Standard, Teaching and Learning Upgrade, and Education Plus, Essentials Starter, Essentials, Enterprise Essentials, and Enterprise Essentials Plus; Nonprofits; G Suite Basic and G Suite Business.
The new data migration service is a new version of the data migration service and can be used for migrations of up to 500 users at a time. Users can migrate only email from one Google Workspace account to another through the new data migration service.
The new data migration service migrates the following from Google Workspace:
Email messages, including draft and sent items
- Labels and sub labels
- Attachments to email messages
- Read and unread status
- Star marked emails
Monitoring points for new migration services:
- Email messages from Google Groups don't migrate.
- Confidential emails migrate, but their verification isn't updated.
- Dynamic emails are migrated as simple messages.
- The migration process doesn't modify the sender and recipient IDs (including Bcc & Cc recipients).
- Snoozed or scheduled messages get the All Mail label on the target account and not the Snoozed or Scheduled labels.
- Messages with the Chat label get the Migrated Chat label on the target account.
For delta migrations:
- Updated drafts migrate as new drafts and previous versions aren't deleted from the target account.
- If a user sends a draft message following the main migration, the new migration service migrates the sent message and doesn't delete the original draft.
Before initiating the migration, complete the following steps in your new Google Workspace account:
- If users are using the Essentials edition, then must verify the domain before you begin. For more details, go to Verify your domain to unlock features
- If users are not using the Essentials edition, then users can verify the domain before or after running the migration.
- The new data migration service only migrates data to accounts of the existing users. It doesn't create new user accounts from the data it migrates.
- Clients require a user license account to Migrate Data.
Note: You don't need to turn on IMAP in the source or target account. The new data migration service uses the Gmail API to migrate data.
Perform the following steps in the Google Admin console of the target Google Workspace account.
Steps for new Migration:
- Go to admin.google.com
- Accounts > Data Migration > Go to Data Migration(New)
Step 1: Connect to source Google Workspace account
- Select Source email address and enter the email address of a super administrator on the source account.
Important: Only the admin user you specify in this field can authorize this process.
- Select Request Authorization.
An authorization request is sent to the super admin email.The request expires in 24 hours. If the request expires you can click Resend request. You must wait 24 hours after you send a request before you can resend.
- To proceed further, the super admin of the source account must open the authorization link in the email and sign into their Admin console and select Authorize. The authorization process also generates a client ID and grants domain-wide delegation for Data Migration (New) in the source account. Now click Verify authorization in the Admin console of the target account, the status changes to Connected.
Step2: Create & Upload migration maps
If you need, you can download a sample CSV and fill the format. Save the spreadsheet as a CSV file then upload a migration map CSV.
Need to use valid email addresses, map the users under the headers (both addresses are mandatory).You cannot map a single source user to more than one target user.
Example:
If you get an error message, correct your CSV file format. Then, repeat the steps 1–2 to upload your mapping file.
Step 3: Configure migration settings
- Select Start date and enter the date that you want to migrate from.
- To migrate email messages that have been deleted by users, select the Migrate deleted emails checkbox.
- To migrate email messages with the Spam label, select the Migrate spam emails checkbox.
- If users don't want to migrate messages that have specific labels, then select the Exclude specific label options from the migration page, and enter the label names, separated by commas.
- Then save.
Step 4: Migrate
Select Start Migration, It grants domain-wide delegation and creates a client ID for Data Migration (New) in the target account. You can check in Control API access with domain-wide delegation
The status changes into In progress and the following information is updated:
- Discovered tasks–Total no. of items (messages, labels, and other tasks) found that were migrated, skipped, or failed.
- Warning–No. of items that were migrated, but failed to complete as expected.
- Failed–No. of items that failed to migrate, due to an error.
- Skipped–No. of items that were skipped.
- Successful–No. of items that were migrated successfully.
- Users processed–No. of users whose migration has completed successfully.
- Emails discovered–No. of email messages that were migrated, skipped, or failed
- Emails migrated–No. of email messages that were migrated
- Emails skipped–No. of email messages that were skipped

Delta migration:
The new data migration service migrates newly-added email messages to the target account. It also finds changes to previously migrated emails , such as the message's read status or new labels and then updates the message on the target account.
The delta migration skipped objects that have already been successfully migrated and not updated on the source account. Those items are marked as skipped.
To initiate the delta migration, in the target account, select Run delta migration.
To exit a completed migration, select Exit migration.
Important: Once you exit the migration, you can no longer access its configuration data or reports.
Once migration is completed it will be displayed in the Admin console until users exit the migration. When users exit, the system deletes the client ID and removes the new Data Migration service account as a client in the domain-wide delegation setting.
